Sponja for Zoom: Setup, Usage, and Removal Guide

Learn how to connect Sponja to Zoom, analyze completed meetings and webinars, troubleshoot syncing, and disconnect the integration when needed.

This guide explains how to add the Sponja app to Zoom, how to use it for webinar and meeting follow-up, and how to remove it at any time.

Sponja connects to Zoom to help you analyze completed events, understand attendee intent, and prepare personalized follow-up drafts.


1) Add Sponja to Zoom

  1. Go to Sponja and sign in to your workspace.
  2. Open Settings -> Integrations -> Zoom.
  3. Click Connect Zoom.
  4. You will be redirected to Zoom's authorization screen.
  5. Review the requested permissions and click Allow.
  6. You will be redirected back to Sponja and see Zoom as Connected.

Permissions requested and why

Sponja only requests read permissions required for post-event analysis:

  • meeting:read:meeting - read meeting metadata (title, timing, host).
  • meeting:read:list_past_participants - read past meeting attendees and attendance timing.
  • webinar:read:webinar - read webinar metadata.
  • webinar:read:list_past_participants - read past webinar attendees and attendance timing.
  • cloud_recording:read:list_recording_files - list recording assets for a session.
  • cloud_recording:read:recording - download eligible recording-related assets used for analysis.
  • cloud_recording:read:meeting_transcript - read transcript files when available.
  • user:read:user - read connected account identity to map data to the correct workspace.

Sponja does not create, edit, or delete Zoom meetings, webinars, recordings, or users.


2) Use Sponja with Zoom

After connecting once, Sponja automatically syncs supported completed Zoom sessions for your workspace.

What happens after an event ends

  1. Sponja retrieves event metadata (for example: topic, start/end time).
  2. Sponja retrieves past participants and attendance details.
  3. If available, Sponja retrieves transcript and chat assets.
  4. Sponja analyzes engagement and intent signals.
  5. Your team sees:
    • Event analysis
    • Attendee scoring and segmentation
    • Suggested follow-up priorities
    • Drafted personalized follow-up messages

Where to view results

  • Open your Sponja dashboard.
  • Select the event.
  • Review attendee insights, segments, and generated follow-up drafts.

Troubleshooting

If an event does not appear or lacks transcript/chat:

  • Confirm Zoom is still connected in Settings -> Integrations.
  • Confirm the session has ended (past sessions only).
  • Confirm cloud recording/transcript exists in Zoom.
  • Wait a few minutes and refresh.
  • Contact support: hi@sponja.ai.

3) Remove Sponja from Zoom

You can disconnect at any time from either Sponja or Zoom.

Option A: Disconnect from Sponja

  1. In Sponja, go to Settings -> Integrations -> Zoom.
  2. Click Disconnect Zoom.
  3. Confirm removal.

Option B: Remove from Zoom App Marketplace

  1. Sign in to Zoom App Marketplace.
  2. Go to Manage -> Installed Apps.
  3. Select Sponja.
  4. Click Uninstall and confirm.

After removal, Sponja can no longer access new Zoom data. Previously synced data in your Sponja workspace remains subject to your retention and account settings.


4) Data and Security Summary

  • Data in transit is encrypted with TLS.
  • Access to integration data is restricted to authorized workspace users.
  • Sponja uses only the minimum read scopes required for event analytics and follow-up workflows.
  • Sponja does not perform write actions in Zoom using this integration.
